This article summarizes the key notifications and elements within a development program. You can customize the types of elements and events to fit your specific schedule. Below, you'll find more information about these components and examples of how they'll appear to members. The examples provided use emails as the notification feature, but the same copy will be used in chat applications.

You can use the index on the right of this page to quickly jump to specific sections as needed.

Navigate to your Development Program

  1. Login to your 10KC Hub

  2. In the left navigation menu of your Hub, go to Development Programs > Manage Programs

    • Don't see this option? You may not have the proper permissions

  3. Click on the Draft tab (if your program is unpublished) or the Live tab (if your program is published) to locate your program

  4. Select the program

✅ Invite

This is the first step in the development program, inviting members to join your program.

The invite email contains essential information about the program they're being invited to, and the content is customizable by the administrator.

We recommend including the following in your invitation:

  • Program Goal: Clearly state what the program aims to achieve.

  • Expectations: Set clear expectations for participants.

  • Call to Action: Guide recipients on what they need to do next to join.

  • Program Dates and Timelines: Provide key dates and a general timeline for the program.

  • Support Contact Information: Offer a way for participants to get help or ask questions.

You have the flexibility to tailor these invitations. You can send a general invitation to all program members or customize it based on their role:

  • Account Status: Differentiate between those who need to create an account and those who already have a 10KC account.

  • Program Role: Customize messages for mentors versus mentees.

You also don't have to send a direct program invite to members. You can send a Hub invite, and if members are in the development program, they'll see it in their onboarding flow. For those who already have a 10KC account, you can even skip this step entirely and auto-enroll them in the program.

You can also resend this invitation and update its content to function as a reminder message, ensuring no one misses out.

✅ Program Landing Page

he Development Program Landing Page is designed to set the right expectations for your participants from the very beginning. Each page clearly outlines what each program session entails and what is expected of participants throughout their journey.

Participants who receive Development Program invitation emails have the option to "learn more" about the program before accepting their invitation. Clicking on "learn more" will direct them to this comprehensive Development Program Landing Page.

The landing page is automatically generated using the session titles and dates you've configured in your Development Program Schedule. For each session, you also have the ability to highlight up to three relevant skills that will be developed during that session.

✅ Match Notification

The Smart-matching Notification is sent to members once the matching process is complete, informing them of their program match (either an individual or a group).

This match email is unique as it's the only notification that allows you to directly embed member variables and segment information into the email body. This means you can personalize the message with specific details relevant to each recipient and their match. They will also be able to click to their match 10KC profile to learn more about them.

For 1:1 Matches:

It's crucial to include member information for both individuals in a 1:1 match. It's also highly recommended to include their program role (e.g., "Mentor" or "Mentee") to ensure clarity for both parties.

For Group Matches:

If your program is configured for group matching, you'll have the option to add a group variable table to the email. This table is customizable, allowing you to select and display the most relevant member details for each group, ensuring all members have the information they need about their new team.

Recommended Information for Match Notifications

  • Recommended Information: The match name (e.g., the names of the individuals in a 1:1 match or the group name) and essential member information for all participants & their role (Mentor, Mentee)

  • Call to Action for Next Steps: While members can technically book a meeting from this email, it's not required until the first session is sent. Consider a soft call to action like "Get ready for your first session!" or "More details on your program will be coming soon."

  • First Session Information: Let members know when they can expect to receive their first session details via email. For example: "Your first session will be emailed to you on [Date]."

  • Support Contact Information: Offer a way for participants to get help or ask questions.

✅ Meeting/Session Notifications

These are the discussion guides sent to matches to help them navigate their program journey. For example, a typical 10KC general mentorship program includes six meetings spread over six months.

As shown in the example image, the 10KC templates come with a structured format, including:

  • Overview: Provides a high-level summary of the session's purpose and key themes.

  • Pre-work: Essential tasks or readings for participants to complete before the session to ensure they come prepared.

  • Discussion Questions: Guided questions to facilitate productive conversations and learning during the session.

Each session is designed to help members develop specific skills. You can customize the content and links within each session to best suit your program's needs.

At the bottom of each session's email (as seen in the "What's next?" section of the example image), members will find a progress tracker where they can click to provide feedback on completed sessions.

✅ Progress Summary

A Progress Summary is a notification you can add to your Development Program schedule. It gives participants a quick, visual overview of their program progress, highlighting where they stand and any areas where they might be falling behind. This email also provides convenient links to program content and meeting check-in surveys.

While the email itself uses a standard template and cannot be directly edited, you as a hub or development program admin can customize the session names that appear within it. These session names are pulled directly from your program schedule, so updating them there will automatically update the email.

Here's what a progress summary email includes:

  • Meeting Listings: All program meetings are listed. Past meetings appear in black font, and participants can click them to access the content. Future meetings are shown in grey font.

  • Check-in Status: A status column indicates whether a check-in has been completed. A green checkmark (✅) means the check-in is done, while sessions without a completed check-in will have a direct link to "Complete check-In."

  • Overdue Indicator: Any past meetings with incomplete check-ins will be clearly marked with an "(Overdue)" indicator.

When to Send a Progress Summary:

We generally recommend adding a Progress Summary after each meeting. If your sessions run every four weeks, it's best to send the progress summary one to two weeks after each session. This timing allows participants to reflect on the recent meeting and complete any outstanding check-ins.

However, the optimal frequency depends on your program's length, content, and target audience:

  • Short Programs (e.g., 4-week onboarding): Sending a progress summary after every session might be excessive.

  • Monthly Sessions: A reminder after each session is beneficial as both a prompt to complete the session and provide feedback.

Ultimately, experiment to find what works best for your participants and program structure.

✅ Survey

Development Program Surveys are automated questionnaires sent to participants at specific points throughout the program. These surveys consist of Development Program Survey Questions and are delivered according to your program's schedule.

Development Program Surveys are invaluable tools for administrators, helping them to:

  • Confirm Member Progress: Ensure members are on track and completing their program sessions.

  • Measure Program Impact: Quantify the program's effectiveness in achieving organizational objectives.

  • Gather Participant Feedback: Collect insights for future program improvements and considerations.

While 10KC templates typically include a final survey at the end of the program, you have the flexibility to add a survey at any point in the program schedule and link out to the same or a different survey. For example, some clients choose to add a shorter mid-program survey to gather feedback halfway through, while others may include pulse surveys after specific milestones.

The example on the side illustrates a Final Survey Notification, which is typically sent to members upon their completion of the program. This notification encourages them to provide their overall feedback and insights on their program experience.

The email body for surveys can be updated and customized based on when you plan to send it. For a final survey, you might include:

  • Congratulations and Introduction: A message congratulating the member on completing the program and introducing the purpose of the survey.

  • Emphasis on Value: Highlights that their feedback is crucial for shaping the success of future programs.

  • Confidentiality Assurance: Clearly states that responses are confidential and only visible to program administrators, not their mentor/mentee.

  • Call to Action: A prominent "Complete Survey" button to direct members to the survey.

  • Progress Tracker: (Similar to session notifications) The "What's next?" section, visually showing their progress and indicating the final survey.
