Launching & Promoting Office Hours to Leaders & SMEs: Host Engagement Campaigns

The Office Hours feature offers a unique way to engage leaders and subject matter experts within your organization. With the help of Host Email Campaigns, you can promote Office Hours and invite these individuals to submit Office Hours events they'd like to host. This tool can be used both at the launch of your community and later on when you want to generate new Office Hour events.

Benefits of Host Engagement Campaigns

  • The use of pre-built templates or the ability to customize them according to your needs.

  • The freedom to modify email content, decide who receives an email, and when they receive it.

  • The ability to select email recipients by pasting in email addresses or selecting profile attributes within the platform.

  • The option to add a call-to-action button with custom copy. Clicking on this CTA will drive email recipients to submit an Office Hours event directly, creating a seamless experience.

Setting Up an Office Hours Email Campaign

Step 1: Access The Email Campaigns Section

Navigate to Office Hours > Email campaigns.

Step 2: Create a Campaign

  • Click Add campaign

  • Add a title for your campaign. This title will be viewable on the admin panel on the platform but not visible to your recipients.

  • We offer a variety of templates to help you create your campaign.

  • Use one of these templates or tailor the content to fit the tone and context of your organization.

Step 3: Select Recipients

Recipients can be selected by:

  • Email addresses

  • Their profile attributes within the platform (Roles & Segments).

  • Platform join date.

  • Members who have hosted an Office Hour

Step 4: Edit Content and Call to Action (CTA)

The email will automatically begin with Hi [userName], addressing each member by their first name. In addition, you can modify:

  • Email subject line

  • Email body

  • CTA text

  • CTA template link by selecting which template you'd like to link to

Once you've drafted your content, you'll see a preview of how the email will look and choose whether you'd like to send now or schedule for a specific date and time.

Step 5: Review and Send

Finally, if you're finished drafting your email, click on Send now if you've selected that option, or Schedule email. You can also choose to save your email as a draft by selecting Update draft.

Once you've finished, your campaign will show a tag for Scheduled, Draft or Sent.
