This article will guide you through viewing and track your participants, understanding key metrics, and optimizing program coverage.
You can use the index on the right of this page to quickly jump to specific sections as needed.
Navigate to your Development Program
Login to your 10KC Hub
In the left navigation menu of your Hub, go to Development Programs > Manage Programs
Don't see this option? You may not have the proper permissions
Click on the Draft tab (if your program is unpublished) or the Live tab (if your program is published) to locate your program

✅ Understanding the Participants Page
The Participants page is your central hub for all program members. Here's what you'll find:
Participant Highlights (Key Metrics)
At the top of the Participants tab, you'll see key metrics that give you an immediate overview of your program's status:
Confirmed participants: Members who've confirmed their participation in the program.
No response: Members with an "invited" or "pending" status who haven't yet responded to their invitation.
For programs with designated Primary and Secondary Roles (e.g., mentorship programs with mentors and mentees, or leader-learner programs), you'll also see specific role-based metrics:
Primary Role (e.g., Mentor, Leader): These numbers reflect members assigned your program's primary role(s). The specific label displayed (e.g., "Leader") will match the Program Roles you've set on your program's Settings tab, rather than a generic "Mentor" if you've customized it.
Secondary Role (e.g., Mentee, Learner): These numbers reflect members assigned your program's secondary role(s). The specific label displayed (e.g., "Learner") will match the Program Roles you've set on your program's Settings tab, rather than a generic "Mentee" if you've customized it.
Coverage: This indicates the capacity ratio between your primary and secondary roles. We'll explain this in more detail below.
These role-specific highlights (Mentor, Mentee, Mentee coverage) are visible only in programs utilizing Primary and Secondary roles. They will be hidden in other program types, such as peer-to-peer programs.
✅ Filtering and Viewing Participants
The Participants page offers several ways to view and manage your program members:
View a participant's overview: Click on any participant to see their individual details, including their program role.
View a Summary of participants: For a concise overview of all participants, click on 'View Summary'.
Download participants: To export your participant list for external analysis or record-keeping, click on 'Download CSV'.
Search participants by name: Quickly find a specific individual using the search bar.
Filter by Status: Streamline your view by participant status:
Confirmed: Individuals ready for program engagement.
Invited: Individuals with an account in the hub who haven't accepted the program invite.
Invited (Need Account): Individuals without an account in the hub who have been invited but haven't accepted the program invite.
Ready to Invite: Individuals with an account who have not yet received an invite.
Needs Account: Individuals without an account who have not yet received an invite.
Declined: Individuals who've declined the invitation to participate.
Opted Out: Participants who've opted out of the program after joining.
Removed: Participants an administrator has removed from the program.
Filter by Development Program Role:
Role: Filters participants based on the specific roles (primary or secondary) as defined on your program's Settings tab.
Members in Both: Individuals who have been assigned and are participating in both the primary and secondary roles set on the Settings tab (e.g., both a mentor & mentee).
No Role: People who haven't yet been assigned a specific role within the program.
Filter by Match (available once the program is Live):
Matched: Participants who currently have a match.
Unmatched: Participants who currently don't have a match.
✅ Coverage Tracking
If your program has designated Primary Roles (like mentors or leaders) and Secondary Roles (like mentees or learners), the Coverage Tracking helps you monitor their ratio, ensuring you have enough matches for all participants.
The coverage ratio (Primary Role / Secondary Role) is included in the highlights at the top of the Participants page and is calculated as follows:
Primary Role: The total number of all confirmed primary role members who are added to the program.
Secondary Role: The total number of all confirmed secondary role members who are added to the program.
Note: Coverage is an estimate based on capacity. It doesn't account for your specific matching rules or any exclusions you've set. To get a complete picture of your program's coverage, run matches to see if any members remain unmatched. This will help you identify the precise types of primary role members you might need to recruit.

If you encounter a coverage issue problem, there are several options available:
1. Send a reminder: You can send a custom reminder to eligible participants who haven't responded to their invitation (click the bell icon 🔔 in Participant Highlights).
2. Adjust matching rules: If necessary, you can relax some of your matching rules to accommodate more mentees.
--> Ask existing mentors to take on additional mentees.
--> Ask some of the senior mentees to become mentors.
--> Limit program availability to a select group of members.
Remember, the goal is to ensure a successful and enriching experience for both mentors and mentees within your Development Programs, so use your discretion in determining which actions are most appropriate.
️ Pro Tip: You can send different reminder content to Mentors and Mentees to increase their likelihood of responding to the program invitation.
Best Practice: Start with sending reminders to members who haven’t claimed their invitations. If this option is not sufficient, the next best option is to consider relaxing some of your matching rules.
Yes, 10KC development program/hub admins can update member capacity. You can do this by following this guide. We recommend aligning with the member first to ensure they are aware of any updates to their program settings
Yes, there are two methods for sending reminders to mentors.
1. You can manually identify mentors on the Participants tab and send them individual invites.
2. The second option is to use the 'Send Invite' button, which provides a filter to show only members who are designated as mentors but haven't yet accepted their invitations.
You can follow this guide for steps on how to complete both. Refer to the section "Sending Invite to All Participants" & "Sending Invite to Specific Participants"
We suggest customizing the invite to be more specific to mentors.
