How to Update Participants in a Development Program (Role, Status & Capacity)

This article will guide you through the process of updating participant information within Development Programs, covering individual and bulk methods for adjusting roles, capacities, and matching preferences.

You can use the index on the right of this page to quickly jump to specific sections as needed.

Navigate to your Development Program

  1. Login to your 10KC Hub

  2. In the left navigation menu of your Hub, go to Development Programs > Manage Programs

    • Don't see this option? You may not have the proper permissions

  3. Click on the Draft tab (if your program is unpublished) or the Live tab (if your program is published) to locate your program

  4. Select the program

✅ Individual Participant Updates

You can update the program role, capacity, and matching preferences for individual participants directly from their profile within the Development Program. This is useful for making quick, specific changes for one person.

  1. From the Participants page, locate the individual whose information you wish to update.

  2. Click on their name to open their Participant Overview.

  3. Within the Participant Overview, you can:

    • Update their Program Role: Locate the "Development Program Role" section. Select the new role from the dropdown menu (e.g., Primary Role, Secondary Role, Both Roles, No Role).

    • Adjust their Capacity: If applicable for their role (e.g., a Primary Role member's capacity for Secondary Role members), find the capacity setting and adjust the number.

    • Change their Status: If a participant's engagement status has changed (e.g., they've opted out or need to be removed), you can update their status here.

    • For Confirmed members, click "View" on the far right of their row in the table. This will open a side window for more detailed preferences.

      • In this side window, navigate to the "Preferences" tab.

      • Here, you can update specific matching-related settings, such as their mentor capacity, match exclusions, and preferred matches.

  4. Save any changes you make.

✅ Bulk Updating Program Participants

There are two options to bulk updates: using the dropdowns for common changes or importing a CSV file for more extensive updates.

1. Bulk Updates via Dropdowns

For quick bulk changes to participant statuses or roles directly on the page:

  1. Go to your Development Program's Participants page.

  2. Filter participants by role or status if you want to target a specific group (e.g., filter to see only "Invited" members).

  3. Select the participants you wish to update:

    • Individually select specific participants by clicking the checkbox next to their name.

    • Or, if you want to update all participants matching your current filter, click "Select all" (e.g., "Select all (41)" as shown in the image below).

  4. Click the "Status" or "Roles" dropdown to update for all selected participants (e.g., change multiple "Invited" participants to "Removed").

2. Bulk Updating Participants via CSV Import

You can update many participants at once by importing a CSV file containing their updated program information. This feature works for all Development Program types and is ideal for large-scale or more complex updates, including capacities.

  • Remember: Before you send invitations, you can add members to the Development Program and then use the bulk update feature (via CSV) to set their mentor capacity. This will pre-populate their capacity, and they will see it already set when they go to accept their invite.

  1. Go to your Development Program's Participants page.

  2. Select at least one participant by clicking the checkbox to activate the "bulk edit mode."

  3. Click “Import updates” to begin the process.

  4. Download the participants template CSV. It's highly recommended to use this template to ensure your file is correctly formatted for updates. Populate this template with the updated data for your participants.

  5. Upload your prepared CSV file by clicking “Select a CSV” or dragging it into the upload area.

  6. The system will then present a review screen with two tabs:

    • Ready to import: Displays all updates that are correctly formatted and ready to be imported. You should cross-check these entries with your CSV for accuracy.

    • Invalid: Shows any updates that contain errors and cannot be imported until corrected.

There are 3 reasons for errors:

Set the capacity to a number between 1 and the maximum capacity

When the secondary role capacity of a participant exceeds the maximum capacity (defined in the Program Settings), the participant’s update will be flagged as invalid

Set the capacity to a number between 1 and the maximum capacity

After fixing all errors, updates from both the Ready to import and Invalid tabs will be imported into the program.

Updates from both the Ready to import and corrected Invalid tabs will be included in the final import.
