Preparing for an Office Hour: How to view Office Hour Participants and Submitted Questions

👤 Target Audience: Office Hour Hosts, Office Hour Editors, and Hub Admins

In this Article we will cover how to review confirmed, waitlisted, and cancelled participants for an Office Hour, and if applicable, the questions participants submitted for the event.

✅ Steps

  1. Once you’ve created your Office Hour and it’s been published, navigate to your Office Hour’s event page.

  2. On the bottom right corner of the event page, you’ll see a section called “Attendees list”, click on See all attendees and a pop up will appear displaying Confirmed, Waitlist, and Cancelled registrants

    1. From this pop-up, you can navigate through the various RSVP Status tabs to view participants, and you can click on See Answer next to any participant to view the question they submitted for the Office Hour, if this option was enabled for the event.

    2. At the top of the pop-up, you’ll see Download file in parenthesis. Click on Download file to download a single CSV file that lists all confirmed, waitlisted, and cancelled registrants.

      • If applicable, the export will show participant questions in column A

      • In column I, you can view the participant RSVP status (Confirmed, Waitlisted, Cancelled).

  3. If there are no confirmed participants for your Office Hour, we recommend the Office Hour Host, Editor, or a Hub Admin confirms that the event has been promoted to the correct Target Audience. If no Target Audience is set, we recommend that you confirm this is appropriate with the event Hosts and/or Editors, and that the event is promoted via alternative methods, such as by sharing the event Registration Link. Q: Who can see Office Hour participants?

A: Hub members who have access to view an Office Hour can see confirmed participants for that event (they cannot see Waitlisted or Cancelled participants). Event Hosts and Event Editors can see all participants (Confirmed, Waitlisted, and Cancelled participants) for any Office Hour they are assigned as the Event Host or Event Editor.

Hub Admins can view all participants (Confirmed, Waitlisted, and Cancelled participants) for all Office Hours.

Q: Who can see questions participants have submitted for Office Hours?

Q: Only Hub Admins, and the assigned Event Host and Event Editors can view questions participants have submitted. Event Hosts and Event Editors will additionally receive event preparation notifications 1 week and 3 days before their event which include a list of registered participants and any submitted questions.
