Setting Up a Custom/Branded Sending Domain

If you’d like platform emails from 10KC to come from your organization’s domain (e.g., [email protected]), we can set up a custom sending domain. This helps improve deliverability and builds trust with your members by making emails look like they’re coming from you—not a third party.

What Is a Custom Sending Domain?

A custom sending domain allows 10KC to send platform-generated emails using your organization’s subdomain (e.g., 10kc.yourcompany.com) instead of the default 10KC domain.

Why Use a Custom Sending Domain?

Using a custom sending domain means your platform emails come from your organization’s brand, not ours. This offers several key benefits:

  • Better Deliverability – Emails are more likely to land in inboxes, not spam folders.

  • Stronger Brand Recognition – Members see your name in the sender address, which builds trust and familiarity.

  • Higher Engagement – Familiar sender names can increase open and click-through rates.

  • Enhanced Security – Authenticated domains (via SPF/DKIM) help prevent spoofing or impersonation.

  • No Interruption to Your Main Email Systems – Especially when using a subdomain, this keeps your internal email setup untouched.

Setup Process

1. Choose Your Subdomain

Decide on the subdomain you'd like to use (e.g., 10kc.yourcompany.com), and share it with your 10KC contact. This is the domain that will appear in email addresses like [email protected].

2. Receive DNS Records from 10KC

Once we have your chosen subdomain, we’ll generate a set of CNAME records via our email provider. We’ll send you these records in a formatted email that’s ready to share with your IT team.

3. Update Your DNS Settings

Your IT team will need to add the CNAME records to your domain’s DNS settings. These records authorize 10KC to send authenticated emails on your behalf.

4. Notify Us Once DNS Records Are Added

Once your IT team has added the records, let us know so we can verify them.

5. We’ll Complete Verification and Activate the Domain

We’ll verify the records and finalize the domain authentication in our system. Once verified, emails from 10KC will begin sending from your custom domain.

Frequently Asked Questions

  • No — using 10KC's default email domain works well for many clients. However, if you want platform emails to come from your organization’s branded domain (e.g., @10kc.yourcompany.com) and ensure maximum deliverability, a custom domain is recommended.

  • A subdomain is a prefix to your main domain (e.g., 10kc.yourcompany.com instead of just yourcompany.com).

We recommend creating a subdomain (like 10kc.yourcompany.com) rather than using your primary domain (yourcompany.com) directly.

    Benefits of Using a Subdomain:
    - Keeps your main domain's email configuration separate and unaffected.
    - Reduces risk of interfering with other critical email systems (e.g., your employee inboxes).
-Easier to manage and revoke access, if needed.

We’ll guide you through selecting and configuring this subdomain, and we typically suggest using a format like 10kc.yourcompany.com.

  • Not at all. Using a subdomain ensures there’s no interference with your regular email operations. The configuration only applies to emails sent from the 10KC platform.

  • You'll likely need someone from your IT or Infrastructure team — specifically, whoever manages your domain's DNS settings. We provide all the technical information needed and can work directly with them if helpful.

  • The process is quick once we receive your subdomain. The only dependency is how fast your IT team can add the DNS records — most clients complete setup in 1–3 business days.

  • That’s totally fine! If you choose not to use a custom sending domain, we strongly recommend whitelisting 10KC’s sending domains in your organization’s email system. This helps ensure platform emails are delivered successfully and don’t get flagged as spam. You can view our current list of sending domains and IPs to whitelist here:
